4. Our lawful basis for processing
Under UK GDPR, we must have a lawful basis for collecting and using personal information.
Depending on the circumstances, we rely on:
Legitimate interests: to respond to general enquiries, manage business communications and maintain appropriate administrative records.

Contract: where we need your information to provide an agreed educational service.
Legal obligation: where we need to retain or disclose information to meet legal requirements, including relevant financial and tax obligations.
We only use personal information where we have an appropriate lawful basis.
5. Where your information is stored and who handles it
We use third-party services to operate our website and communicate with clients.
Squarespace
Our website is hosted through Squarespace. Information submitted through our website enquiry form is accessible through Squarespace's form submission and contact management facilities.
Where Squarespace processes personal information on our behalf, it acts as our data processor under its applicable Data Processing Addendum, which forms part of its Terms of Service.
Squarespace may also process certain information independently under its own privacy policy.
Website: https://www.squarespace.com
Google Gmail
We use a personal Gmail account for business correspondence and responding to enquiries.
Our Gmail account is provided under Google's consumer Terms of Service and Privacy Policy. This is not a Google Workspace business account, and we do not have a Google Workspace Data Processing Addendum.
Google handles information under its own applicable consumer terms and privacy arrangements. We recognise that these arrangements are different from a business data processing agreement.
Privacy information: https://policies.google.com/privacy
Access to these accounts is restricted to the business owner.
We may also share relevant information with banks, payment providers, professional advisers, insurers or regulatory authorities where necessary for business administration or legal obligations.
6. International data transfers
Some of the third-party services we use may process or store personal information outside the United Kingdom.
Squarespace
Squarespace's Data Processing Addendum describes its international data transfer arrangements. These include reliance on the UK Extension to the EU-US Data Privacy Framework where applicable, and the UK International Data Transfer Addendum to the Standard Contractual Clauses where required.
Further information is available in the Squarespace Data Processing Addendum:
https://www.squarespace.com/dpa
Google's consumer privacy documentation explains that information may be processed on servers outside the country in which the user lives. Google describes its reliance on international transfer frameworks, including the UK Extension to the EU-US Data Privacy Framework and Standard Contractual Clauses where required.
Our use of personal Gmail is subject to Google's consumer terms and privacy arrangements rather than a separate Google Workspace business data processing agreement.
Further information is available at:
https://policies.google.com/privacy/frameworks
7. How long we keep your information
We do not retain personal information indefinitely.
Our intended retention periods are:
General enquiries: up to 12 months after the last meaningful contact where no booking takes place, unless there is a legitimate reason to retain the information for longer.
Client and booking records: reviewed individually and retained only for as long as reasonably necessary to administer the service, address any questions or complaints, and meet relevant legal, professional or insurance requirements.
Financial records: for the period required by applicable tax and financial record-keeping obligations.
When information is no longer required, we will securely delete it from the systems in which we hold it, including our email and website records where applicable.
Deletion from a service may not immediately remove all copies held in routine backups or system logs, which are subject to the relevant provider's retention arrangements.
8. How we protect your information
We take reasonable steps to protect personal information against loss, misuse, unauthorised access or disclosure.
These include:
Restricting access to business accounts.
Using password-protected accounts.
Enabling two-step verification.
Limiting the personal information we collect.
Avoiding unnecessary collection of sensitive information.
No online system can be guaranteed to be completely secure, but we take reasonable precautions to protect the information entrusted to us.
