Booking Terms & Conditions and Cancellation Policy
Last updated: October 2026
Welcome to Midwife Pippa!
My aim is to make your experience of booking antenatal and postnatal education as straightforward, supportive and reassuring as possible. I want you to feel comfortable, informed and confident throughout your experience.
Please read the following terms carefully before confirming your booking.
1. Booking and payment
All sessions must be booked in advance and are subject to availability. Sessions may be delivered online or in person, as agreed at the time of booking.
A 20% deposit of the total booking price is payable to secure your appointment. The remaining balance is due 48 hours before your scheduled session.
For bookings made less than 48 hours before the session, full payment is required at the time of booking.
Your booking will be confirmed once the required payment has been received and you have received written confirmation from Midwife Pippa.
Your booking confirmation will outline:
The service or package you have purchased.
The agreed date and time.
The session format and location, where applicable.
The total price and payment arrangements.
Any other relevant information specific to your booking.
If the remaining balance is not received by the payment deadline, I reserve the right to contact you to resolve the outstanding payment and, where appropriate, cancel or rearrange the booking in accordance with these terms and applicable consumer rights.
2. Cancellation by you
I understand that plans can change, especially during pregnancy and early parenthood. If you need to cancel, please let me know in writing as soon as possible using the Midwife Pippa business email address.
My standard cancellation arrangements are:
Seven or more days before your session:
A full refund of payments made will normally be provided.
Less than seven days before your session:
I will consider each cancellation individually. Depending on the circumstances, I may offer a rescheduled appointment or a refund.
If a cancellation results in direct, reasonable losses that cannot reasonably be avoided, a proportionate amount may be retained or charged, where legally permitted.
I will take into account:
The amount of notice provided.
Any reasonable costs already incurred.
Whether the appointment can be filled by another client.
The circumstances surrounding the cancellation.
A deposit will not automatically be treated as non-refundable.
Illness, pregnancy-related concerns and emergencies:
I appreciate that unexpected circumstances can arise during pregnancy and early parenthood. If illness, pregnancy-related concerns or an emergency prevent you from attending, please contact me as soon as possible.
I will always aim to approach these situations with understanding and do my best to offer a suitable alternative or fair resolution.
Your statutory cancellation rights remain unaffected by this policy.
3. Rescheduling
If you need to change your appointment, please provide at least 48 hours' notice wherever possible.
One reschedule per booking will normally be offered without an additional administration fee, subject to availability.
Any further changes will be considered on a case-by-case basis.
If illness, pregnancy-related concerns or an emergency mean that you need to rearrange at shorter notice, please get in touch. I will do my best to accommodate you.
Any replacement appointment will be agreed between both parties and confirmed in writing.
4. Late arrivals and missed appointments
Please arrive promptly for in-person sessions or be ready to begin at the agreed time for online sessions.
If you arrive late, your session may still need to finish at the originally scheduled time to avoid affecting other appointments.
If you anticipate being late, please contact me as soon as possible.
If you are unable to attend and do not provide notice, I will consider the circumstances before determining whether a refund or alternative appointment is appropriate.
Any amount retained in these circumstances will be proportionate and subject to your statutory rights.
5. Online sessions
For online sessions, you are responsible for ensuring that you have:
A suitable internet connection.
A compatible device.
A reasonably quiet and private environment in which to participate.
If technical difficulties on my side prevent the session from taking place, I will offer a replacement appointment or an appropriate refund.
If technical difficulties on your side arise, I will make reasonable efforts to help resolve them or agree an alternative where possible.
6. Packages and multiple-session bookings
Discounted packages may be available for clients booking more than one session.
Package prices, included sessions, any applicable discounts and expiry dates will be clearly explained before purchase.
If you cancel a package after one or more sessions have taken place, any refund will be calculated fairly, taking account of:
The individual value of sessions already delivered.
Any package discount applied.
Any reasonable direct losses arising from the cancellation, where legally permitted.
If your circumstances change, for example because your baby arrives earlier than expected or you no longer require a particular session, please contact me to discuss your options.
Unused sessions will not automatically be treated as non-refundable in every circumstance.
All package arrangements remain subject to applicable statutory consumer rights.
7. Cancellation by Midwife Pippa
Although I will always make every reasonable effort to honour confirmed bookings, unexpected circumstances such as illness or emergencies may occasionally affect my availability.
If I need to cancel or am unable to deliver your session, I will let you know as soon as reasonably possible.
You will be offered:
An alternative appointment, subject to availability; or
A full refund for the affected session if you prefer.
If a package can no longer be delivered as agreed, I will discuss appropriate alternatives or refunds with you.
Nothing in this section limits your statutory consumer rights.
8. Educational scope and professional boundaries
Midwife Pippa provides antenatal and postnatal education, information and preparation to help individuals and their partners feel more informed and confident during pregnancy, birth and early parenthood.
Sessions are educational in nature and are not a substitute for:
Individualised clinical assessment.
Diagnosis or treatment.
Personalised medical advice.
Ongoing maternity care.
Emergency or urgent healthcare services.
Although I am a qualified midwife, the services offered through Midwife Pippa are educational rather than an alternative maternity-care service.
Information shared during sessions is intended for general educational purposes. Individual circumstances, symptoms, medical histories and pregnancy-related concerns should be discussed with your own maternity care team or appropriate healthcare professional.
If you experience concerning or urgent symptoms during pregnancy or after birth, you should contact your maternity unit, midwife, GP or emergency services as appropriate, rather than relying on an educational session.
Booking a session does not establish an ongoing midwife–patient relationship or replace your usual maternity care.
This educational boundary does not remove any professional duties or responsibilities that may legally apply to the delivery of the service.
9. Client responsibilities
To help ensure that sessions are positive, safe and beneficial, clients are expected to:
Provide accurate booking and contact information.
Read the service description and understand what is included.
Attend sessions at the agreed time.
Treat sessions respectfully and allow an appropriate environment for learning and discussion.
Raise any questions about the content or format of a session before or during the appointment.
Clients are not expected to disclose personal medical histories or provide clinical information as a condition of receiving educational services.
Midwife Pippa reserves the right to end or decline a session where behaviour is abusive, threatening or inappropriate. Any resulting payment or refund arrangements will be considered fairly and in accordance with applicable law.
10. Confidentiality and data protection
I respect the privacy of everyone who uses Midwife Pippa.
Personal information provided during enquiries and bookings will be handled in accordance with the Midwife Pippa Privacy Policy, available on the website.
Information will only be collected, stored and used where necessary for the operation of the business and in accordance with applicable data protection legislation.
I will treat information shared during sessions sensitively and will not disclose personal information unnecessarily.
Confidentiality may be subject to legal obligations or circumstances where disclosure is necessary to protect someone from serious harm or meet safeguarding responsibilities.
Please refer to the separate Privacy Policy for further information about how personal data is handled.
11. Recording of sessions
To protect the privacy of everyone involved, neither Midwife Pippa nor the client may audio-record, video-record or otherwise record a session without prior written agreement.
This applies to both online and in-person sessions.
12. Educational materials and intellectual property
Any teaching materials, presentations, handouts, documents, resources or other educational content provided by Midwife Pippa remain the intellectual property of Midwife Pippa, unless otherwise stated.
Materials are supplied for the personal educational use of the purchasing client only.
They must not be:
Reproduced or copied for wider distribution.
Shared, uploaded or circulated to other individuals or groups.
Published or distributed online.
Used commercially.
Sold, adapted or presented as another person's original work.
Purchasing a session or package does not transfer ownership of the educational materials to the client.
13. Liability and professional responsibility
Midwife Pippa aims to provide all educational services with reasonable care and skill.
The information provided during sessions is intended to support general understanding and preparation. It cannot guarantee a particular pregnancy, birth or postnatal outcome.
Clients remain responsible for seeking appropriate individualised healthcare advice and following the guidance of their own maternity care team.
Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury resulting from negligence, or any statutory consumer rights.
Nothing in these terms removes any professional obligations that apply to the services being delivered.
14. Complaints and feedback
I genuinely value feedback and want every client to feel listened to and supported.
If you are unhappy with any aspect of your experience, please contact me in writing using the Midwife Pippa business email address.
I will:
Acknowledge your concerns.
Take the time to understand what has happened.
Aim to discuss the matter with you and establish an appropriate resolution.
Provide a response and explain any proposed next steps.
Where possible, I aim to acknowledge complaints within five working days and provide a substantive response within ten working days. If further investigation is required, I will keep you informed of any delay.
I want to approach any concerns fairly, professionally and constructively.
15. Consumer rights and statutory cancellation periods
Nothing in these terms limits or excludes your statutory consumer rights.
For bookings made online, by email, telephone or through other distance-selling arrangements, a statutory 14-day cancellation period will generally apply to service contracts under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.
The cancellation period normally begins on the day the contract is entered into.
If you request that a session takes place during this period, additional rules apply.
Where a client expressly requests that a service begins during the 14-day cancellation period, they may still have the right to cancel. In certain circumstances, a proportionate amount may be payable for services already provided.
Where a service is fully performed during the cancellation period, the right to cancel may end once the service has been completed, provided the necessary express request and acknowledgement have been obtained beforehand.
Any required consent and acknowledgement will be obtained separately as part of the booking process.
If you wish to exercise a statutory cancellation right, please contact Midwife Pippa in writing. You may use the relevant cancellation form if provided, or simply send a clear written statement confirming your decision to cancel.
Where a statutory refund is due, it will be processed within the applicable legal timeframe.
